Vice President for Institutional Diversity, Equity, and Inclusion

Williams College is pleased to announce an opening for an Executive Assistant to the Vice President for Institutional Diversity, Equity, and Inclusion (OIDEI). Reporting to the Vice President or their designee, this full-time, year round position serves as first point of contact in the Vice President’s office, provides continuity and administrative coordination within the office, and, on behalf of the Vice President, with other senior administrative offices. The Executive Assistant will have the opportunity to work collaboratively with the Vice President and the OIDEI leadership team to support relevant committees, initiatives and programs. Some evening and weekend hours are required.

Responsibilities

Duties and responsibilities include, but are not limited to, scheduling and meeting organization, preparing departmental revenue and expense reports, managing meeting and travel arrangements, and special projects as assigned. Other primary duties include:

  • Serving as the first point of contact with the Vice President’s office.
  • Serving as the first point of contact with the Vice President’s office.
  • Engaging students, families, faculty, staff, alumni and external constituents to resolve problems and direct inquiries.
  • Handling logistics for meetings involving internal and external constituents;
  • Preparing materials relevant to key meetings and serving as administrative liaison to assigned committees.
  • Managing budgetary and periodic financial reporting; tracking budgets and expenditures. 
  • Handling purchasing card accounting and reconciliations and processing invoices.
  • Maintaining office and department webpages.
  • Supporting faculty and staff hiring processes.
  • Scheduling workshops and tracking attendance.
  • Overseeing internal record-keeping processes.

Qualifications

  • 5 years administrative experience, or equivalent combination of skills and experience. An Associate's or Bachelor’s degree is preferred.
  • A commitment to serving students, faculty, staff, families, and campus guests in a courteous, confidential, and professional manner is required.
  • A working knowledge of Microsoft Office Suite required.
  • Excellent written and oral communication skills.
  • Excellent interpersonal and organizational skills.
  • Demonstrated ability to manage budgets.
  • Experience with web-based content management systems is preferred.
